This position coordinates the effective and efficient planning, production, and delivery of public and on-site learning and development courses and products for domestic and international audiences. It assists the Director of Education and Training with improving the performance of training processes and enhancing the learner experience.
Principal Duties and Responsibilities
Preparation: Assist Director with instructors and guests/auditors to schedule and prepare for learning courses, including establishing project timelines and deadlines for deliverables,
Contracting: Assist Director of Education and Training with managing instructor contract processes, including preparing, sending, and tracking instructor contracts for presentation and course development.
Course material preparation: Make course materials available for instructor review and updating.
Instructor logistics: Support logistics, including provision of travel guidelines and attendee rosters, and identifying room set-up/AV requirements.
Invoices: Review invoices/expense reports from instructors for accuracy and submit for payment.
Course material production: Manage production and delivery of course materials.
Supplies: Ensure all materials are current and available to learners and instructors on-site.
On-site support: Staff public training events as assigned.
Coordination: Coordinate with other ISPE departments, for example, Member Services and Accounting departments.
Logistics: Coordinate with Program Development (Event Operations) regarding room set-up/AV requirements.
Course follow-up: Process training course evaluations and issue CEUs.
Learner support: Answer learner inquiries regarding public and onsite training
Learning management system (LMS)
Course material transfer: Assist with transfer of course materials to online learning.
Inquiries: Answer learner inquiries about LMS issues and concerns.
LMS support: Provide back-up assistance to instructional designer as required.
Continual improvement: Assist in improving the performance of training processes and systems.
Planning and budgeting: Provide Director of Education and Training with input for annual budgeting process.
Other duties as assigned.
Education and work experience:
Bachelor’s degree in Education, Science or related field preferred.
Knowledge and documented experience in handling and working with high-level subject matter experts and professionals.
Excellent PC skills in Microsoft Word, Excel, PowerPoint, Access, and Acrobat.
International experience is a plus.
