To provide support to the Board as requested by this contract or as requested by the President or Executive Committee
To support SNAI members in educational efforts, credentialing and
To be the liaison with School Nutrition Association (SNA) on behalf of SNAI as
To support SNAI Committees as requested to assist with Conferences or other SNAI sponsored activities.
General Scope of Services:
Provide continuity of leadership to SNAI from year to year. Utilize an updated SNAI Calendar of Events to provide reminders to the appropriate individuals to ensure that SNAI activities are completed by the deadlines established. An updated Calendar of Events will be handed out and reviewed at the first Executive Board Meeting of the fiscal year. Send out reminders to the appropriate individuals, keeping the Board and Committee Chairs on task or apprised of coming events. Provides guidance and direction to elected Board members to ensure that conferences are successful and that member communication is timely and professional. Actively assists all conference or meeting planning chairs and is highly visible working at each conference. Assure staffing of the registration table/booth for each SNAI sponsored conference, during registration hours. Monitors, reports, and works to grow SNAI membership and helps Board members ensure that revenue and expenditure budgets are met.
Must maintain a current SNA membership at own expense at all times of employment.
In consideration of mutual promises contained herein, it is agreed:
I. Scope of Services:
Tasks and duties related to SNAI operations, office management, and
Maintain records of official Board policy, procedure and
Maintain SNAI documents and records such as insurance policies, non-profit status, membership lists and directories, tax returns, financial reports for the IRS and legal documents. Utilize paid accountant for audit and tax preparations yearly or as approved by the Executive
Maintain financial reports and records. Prepare deposits, code expenditures/revenue to appropriate computer programs, complete monthly checking account reconciliation, prepare Profit/Loss statements for conferences and workshops, prepare checks and expenditure reports for Secretary Treasurer and President to approve and sign checks, including those for mileage and other travel reimbursements.
Maintains an external hard drive backup of SNAI data, including Accounting
Collect registrations and create accurate records for event check in and payment of registration
Archive historical records and documents as
Serve as liaison for SNAI with communications to other Iowa allied organizations as identified by the
Act as the contact person for SNAI members on issues concerning
Maintain current database of membership information including email
Utilize SNAI database and email system to communicate and disseminate information to all
Coordinate all social media outreach to include SNAI Website, Facebook, Twitter in conjunction with Marketing/Social Media/Publication Chair, including Website design, layout and content. Acquire and update member e-mail addresses throughout the
Assess and update website content at least weekly and update information in a timely manner. Seek and post stories, pictures and information of interest to members.
Act as a liaison with the Legislative Committee to produce and distribute the legislative platform. Send out “Legislative Alerts” when requested by the Legislative Chair.
Maintain positive and respectful relationships with all SNAI
Maintain updated voicemail messaging, phone line and established office hours, thus ensuring availability to members during peak calling
Purchase Presidential recognition gifts and pins for Past Presidents. Work with Member Services chair and Industry chair to purchase recognition awards if requested.
Coordinate with Marketing/Social Media/Publication Committee and Conference & Exhibit Planning Committee on annual Industry mailing, sponsorship opportunities and website
Coordinate publishing dates and deadlines i.e. information on ballots, deadlines, and registrations. Coordinate printing and mailing of newsletter with printer. Upload SNAI Newsletters to
Maintain proficiency in the following software programs: Microsoft Office Products - Word, Excel, Publisher, PowerPoint; QuickBooks, FileMaker Pro and others as needed or requested by the
Collect payment and invoices according to procedures for Industry / Exhibits for State Conference and Vendor sponsorships.
Tasks and duties related to the SNAI Board including but not limited to:
Develop and annually update the Calendar of Events, communicate deadlines to Executive Board members and Committee Chairs to assure they are met (send out timely reminders in advance of deadline). Provide accurate and timely member communications regarding Board activities through newsletter and conference announcements, staying within established
Attend meetings of the SNAI Executive Board and other Board functions as requested.
Prepare a Board report and present to the Board at each Board
Prepare and distribute meeting agendas to Board members once established by the President in advance of the meeting. Collect and email Board reports to the Board members before the executive Board meeting,
Serves as a backup to the Secretary-Treasurer for recording minutes of the SNAI Board meetings and records actions items and email to Board members within 5 days after the Board Meeting to the President and President Elect for review. Email to appropriate individuals once approved. Minutes to include any updates to the Strategic Action
Provide current financial information to Secretary-Treasurer so a report can be prepared for the
Present status reports (such as membership status reports, conference reports, etc.) at Board meetings as may be directed by the Board or
Make travel arrangements as requested by Board members for SNAI-paid travel as per current travel
Tasks and duties related to SNAI meetings including but not limited to:
Perform duties as outlined in the current Strategic Action Plan, Roles and Responsibilities of Association Manager.
Update and maintain active timelines and checklists for all duties related to each SNAI event.
Attend and actively assist with Executive Board Meetings, Executive Committee Meetings, Leadership Training and Annual Conference. Expenses to attend these functions will be paid by SNAI in accordance with SNAI policies and procedures. No time spent working for SNAI will be paid while in attendance at Conferences.
Provide a detailed report of the immediate past conference and present information at Fall Board Meeting or as requested by planning committee. The conference report will verify all conference details including attendance records, vendor list, revenue / expense report and a profit /loss
Provide storage and transportation of SNAI property, supplies and conference/meeting materials as
Tasks and duties related to the School Nutrition Association (SNA):
May represent SNAI at the SNA Associaiton Manager Conference and SNA Leadership Conference Serve as primary communication liaison to SNA in all areas.
Inform and update the Board on SNA programs, goals and activities in all
Handle all written and phone inquiries regarding the SNA Certification
Maintain files including meeting attendance and registration lists including prior approval form of key area for CEU Records and Key Area clock hour approvals during the past
Such other duties and responsibilities as assigned by the SNAI President or any Executive Committee
