REOMAC is a small to medium sized non-profit organization supporting the default mortgage servicing industry. REOMAC members consist of loan servicers, banks, investors, law firms, title companies, real estate agents and more. While the exact nature of the program is dependent upon the objectives defined by the REOMAC Board of Directors, support services required include, fully paid by the basic fee set forth in the Independent Contractor Agreement, but not be limited to, the following:
Administrative Management Services
Headquarters office, including utilities, equipment and fixtures necessary to perform the functions required by the Independent Contractor Agreement.
Telephone answering services on exclusive REOMAC line during the hours of 8:00 a.m. – 5:00 p.m., Monday through Friday, Pacific Time. The phones are placed on a specific REOMAC voice mail line during non-operation hours.
Maintenance of files, records and supplies.
Accept, answer and route inquiries regarding membership, programs, publications, meetings, etc. to staff members or volunteers as appropriate.
Process mail and route to internal staff and/or members as appropriate.
Maintain master REOMAC, industry and website update calendars.
Assist with special mailings, broadcasts, e-mail broadcasts, webinars, and other methods of information dissemination.
General administrative support.
Executive Management Services
Maintain a complete understanding of the purpose and mission of the association.
Provide leadership and visionary direction.
Be knowledgeable of the profession of the membership base and their day-to-day practices to satisfy the needs of the members and the goals and objectives of the association.
Provide day-to-day management of operations and staff.
Maintain liaison relationship with volunteers in developing and implementing association policies and procedures.
Maintain communication at all levels.
Assist in the development of both short and long range goals and objectives.
Assist with strategic planning sessions.
Assist at annual CAMP REOMAC.
Assure compliance with governing documents (e.g., Bylaws, Articles of Incorporation, Standing Rules, Manual of Operations, Policy Manuals, Standard Operating Procedures, Corporate Filings, Insurance, etc.).
Membership environment analysis (potential member audience, research and feedback and current member category analysis).
Review, update and provide recommendations of operating budgets and governing documents.
Obtain necessary advice relating to legal and tax issues.
Assist in the formulation and execution of policies as established by the Officers, Board of Directors, and Committees.
Manage relations with outside vendors and contractors.
Process reports, labels, lists, statistical data, etc. as needed.
Prepare and distribute board meeting notices and board agenda packets in advance of meetings.
Prepare and distribute management/Executive Director reports on a consistent basis.
Adequately staff board meetings and take minutes as needed.
Complete pre and post board meeting tasks in a timely fashion.
Maintain liaison relationship with allied industry organizations.
Maintain ongoing action plan and completion of tasks.
Coordinate and maintain membership benefit programs and agreements.
Ensure membership development (retention and recruitment) programs are utilized and maintained at all levels.
Arrange for and participate in council meetings.
Coordinate (with leadership) date and location and make arrangements for board meetings.
Negotiate hotel contracts and prepare for review.
Organize and assist in the development of annual reports.
Negotiate and arrange for all hotel functions, i.e., food and beverage, audio-visual (as needed), room sets, room blocks and off-site activities.
Assist with speaker logistical arrangements, including audio-visual requirements, handouts, and travel.
Maintain relationships with key hoteliers, convention bureaus, drayage companies, destination management companies, production services companies, travel agencies, airlines, car rental agencies, entertainers, florists, and other outside service bureaus.
Develop, produce and distribute meeting materials, registration brochures, and on-site materials.
Process registrations, prepare name badges, confirmation letters, registration lists and reports.
Provide onsite staff support at REOMAC events.
Arrange for awards and special recognition activities.
Assist with fundraisers, silent auctions and raffle drawings.
Handle all post meeting issues including invoicing, final budget analysis, evaluations, hotel details, thank you letters, surveys, etc.
Membership Management Services
Work closely with the Membership Chairperson and Membership Council to implement the association’s goals and objectives related to membership growth.
Participate in Membership Council meetings.
Develop plans, ideas and materials for membership retention and membership recruitment.
Process membership inquiries and maintain prospect packets.
Process new membership applications and arrange for accompanying new member welcome kits.
Update/maintain all membership applications, letters and general membership materials, both in paper form and online.
Prepare, distribute and maintain records of all membership dues invoices and payments, including credit cards.
Prepare membership reports for board meetings and publications.
Follow up on membership concerns.
Develop and distribute membership surveys, questionnaires, certificates, thank you letters, membership cards, etc.
Design, edit, and in-house layout of association mailings using the latest technology for artwork and images. Mailings include: membership marketing pieces, event brochures, meeting brochures, meeting materials, certificates, invitations, tickets, stationery, etc.
Develop marketing pieces for the REOMAC Website or social media.
Provide assistance with layout and appearance of association email marketing materials.
Creative design development for logos, display advertisements, banners, signs, masthead, etc.
Sponsor and exhibitor solicitation, event registration, and maintaining relationships with drayage companies and other outside vendors.
Growth of lender, servicer, bank databases for REOMAC marketing
Research sites/venues for networking events such as dinners or conferences
Maintain relations with allied industries to avoid conflicting industry events.
Assist with themes and logo ideas and design.
Prepare promotional and summary articles for association publications.
