The National Club Association (NCA) has been the advocate for the private club industry in Washington, D.C., for more than 55 years. As the voice of private clubs on Capitol Hill, NCA ensures that club concerns are forefront when legislative and regulatory issues affecting the industry are being decided. In addition, NCA provides club leaders an outstanding array of resources on club industry trends, governance best practices, legal and operational matters and ways to strengthen club leadership.
NCA is currently seeking a Membership and Database Engagement Manager who will be based out of its Washington DC office. This position is responsible for providing complete membership engagement for current and prospective members, database oversight and project-based operational support for the National Club Association, the NCA Foundation, and ClubPAC.
Manage Membership Database.
Responsible for database maintenance and management (YourMembership), including maintaining up-to-date records, import and exports, cleanup, handling inquiries, running all reports, generating invoices, pulling mailing lists, adding applicable notes with accuracy and efficiency to support NCA needs. Training of other staff, volunteers, and software updates.
Responsible for creating and adhering to efficient database management processes.
Communicate database changes to affected parties. Understand impact of database changes and make recommendations as appropriate. Handle introduction and implementation of any database changes.
Reconcile database transactions to ensure accuracy of records (process invoices, generate reports and consult with accounting).
Generate invoices for membership renewal mailings and accounts receivable billings.
Process and record payments.
Create and maintain various department dashboards with Marketing Manager and VP of Membership & Development.
Provide Support for Membership and Meetings Department Marketing Activities.
Administer all member-related fulfillments, including new member kits, production orders and, publication orders.
Work with VP of Membership & Development and Marketing Manager to onboard, orientate and otherwise strategically engage new members.
Work with VP of Membership & Development, Sr. Communications Manager and Marketing Manager to recruit and engage prospective members through multi-touch outreach and drip campaigns.
Work with Marketing Manager to prepare mailings for member recruitment, retention and other marketing programs.
Oversee event registration process and reports.
Maintain NCA Foundation Donor Records and Provide Administrative Support for NCA Foundation Activities.
Process NCA Foundation donations and update donor records.
Generate NCA Foundation donor lists, reports, and invoices as needed.
Assist in preparing NCA Foundation appeals.
Maintain list of donor pledges and outstanding accounts payable records.
Administer NCA Foundation state registrations.
Maintain ClubPAC Mailings and Provide Administrative Support for ClubPAC activities.
Process ClubPAC donations and update historical donor records.
Generate ClubPAC donor lists, reports, and invoices as needed.
Assist in preparing ClubPAC appeals.
Maintain list of eligible ClubPAC donors.
Process all financials, manage all mail services, and be administrative liaison for time tracking of all staff.
Manage Relationship with Building Management and Sub-tenants.
Education and/or Experience
Bachelor’s degree in business administration or equivalent related field preferred or demonstrated work successful experience.
At least three to five years of related experience in an association desired.
High proficiency in Microsoft Office (especially Word and Excel).
Sound judgement and analytical skills.
Strong attention to detail to ensure accurate work product.
Excellent communication skills, both verbal and written.
Highly organized with the ability to manage multiple projects simultaneously in a timely manner.
Familiarity with the golf or private club industry a plus.
